The Accounting Coordinator will assist in the management of finance and accounting operations, at the discretion of the Director of Finance. They will demonstrate a thorough understanding of QuickBooks and will work alongside other finance department colleagues to ensure Virginia Stage is in compliance with all pertinent regulations.
In addition, the Accounting Coordinator will:
In concert with colleagues from other departments, track, deposit and verify all income from all sources, including donations, ticket sales and rentals, among others
Prepare and verify, with appropriate department heads, all tax reports and/or forms for admissions tax, sales and use tax, & food and beverage tax; make appropriate payments thereafter
Enter invoices into Quickbooks on a weekly basis including accurate account and project codes
Provide AP aging report each week & participate in forecasting
Post AP General Journal weekly and reconcile with GL account
Meet with Director of Finance weekly to determine appropriate payment schedule and priorities for the week
Follow up on older uncashed checks with vendors and/or individuals
Cut checks on a weekly basis from appropriate checking account
Prepare daily check deposit
Daily reconciliation of gift & ticket sales with bank & deposit reports
Reconcile and track company credit cards and debit cards and provide said reconciliations to Director of Finance for review
Prepare general journal entry reclasses, as needed
Complete monthly bank account reconciliations and submit said reconciliations to Director of Finance for review
Coordinate and process, with our third-party payroll processing firm, the Company’s bi-weekly and weekly payroll.
Prepare and mail all W-2’s, 1099’s at end of calendar year
File workers compensation accident reports and any medical correspondence, in collaboration with appropriate department heads
Assist Director of Finance with the preparation of all necessary reports to support the completion of the company’s annual audit and the filling of Form 990
Process and disseminate petty cash banks to applicable departments
Oversee payment and associated reporting (including benefit audits) for the company's insurance package which includes building, automobile, D/O policy and worker’s compensation, among others.
Assist Director of Finance in other accounting tasks, as requested
The Accounting Coordinator must:
Exhibit proficiency with QuickBooks

An ideal Accounting Coordinator candidate will:
Have a Bachelor’s degree
Demonstrate aptitude and experience in non-profit finance, preferably in the arts
Possess advanced experience with Microsoft Office suite, Google Docs and video conferencing
This is a part-time, non-exempt position (20-24 hours/week). Exact working hours are flexible and a set schedule will be determined in consultation with theatre leadership. Occasional evening and weekend work may be required from time to time.
