Description
Job Title: Expert QuickBooks Bookkeeper/AccountingSeeking business office support for a dynamic, fastpaced, family-owner company. This role requires a versatile skills set, including Human Resources, Payroll, Accounts Payable/Receivable, QuickBooks required, Excel, and strong-problem-solving abilities. The ideal candidate will be highly adaptable, comfortable navigating shifting priorities, and capable of working effectively with individuals from diverse backgrounds.
Key Responsibilities
Bookkeeping & Accounting (Primary Focus)
- Serve as the in-house QuickBooks expert , overseeing all bookkeeping functions across multiple companies.
- Create, send, and track monthly invoices and account updates for tenants.
- Manage and reconcile utility billing: cross-reference electric, gas, water, and trash bills with internal meter readings to calculate and process tenant billings using a set formula.
- Maintain accurate records of client accounts, outstanding balances, and payment histories.
- Receive, sort, track, and deposit incoming payments.
- Process tenant payment authorization forms, debit/credit card transactions, and issue receipts.
- Generate and present routine, detailed financial reports for management.
- Enter accounts payable data and prepare bills for payment.
- Uphold strict confidentiality and data security standards in handling tenant and financial information.

Administrative Support
- Greet visitors and serve as the first point of contact for customers and guests.
- Open, sort, and distribute daily mail.
- Schedule appointments, maintain calendars, and coordinate meetings.
- Draft and manage professional communications, including memos, emails, and reports.
- Organize and maintain filing systems (digital and physical).
- Support office and maintenance teams with projects and events.
- Track and order office supplies as needed.
- Expert-level knowledge of QuickBooks Online (required).
- 2+ years of billing/accounts receivable experience (highly preferred).
- 3+ years of administrative/receptionist experience (preferred).
- High School Diploma/GED required; advanced education in accounting/finance a plus.
- Excellent communication and interpersonal skills.
- Strong organizational skills with meticulous attention to detail.
- Ability to work independently while contributing to team goals.
- Valid driver's license and reliable transportation required.
- Salary: $45,000 - $50,000 per year , depending on experience.
- Paid Holidays.
